Position Overview: We are seeking a highly organized and proactive Operations Assistant to support the Director of Operations at a growing law firm in Washington, DC. As the right hand to the Director of Operations, you will play a critical role in ensuring the smooth functioning of the firm’s operations. Key Responsibilities:
Vendor Management: • Track and manage contract renewals. • Serve as the point of contact for vendor relations and inquiries. Facilities Management: • Oversee office supplies procurement and implement cost management strategies. • Provide support for all facilities-related issues, including repairs and maintenance coordination. Event Coordination: • Collaborate with the Marketing team to organize and execute firm events. • Assist in planning and logistics to ensure successful outcomes. Culture Champion: • Promote and uphold a positive office culture. • Develop initiatives to foster team engagement and morale. Growth and Transition Support: • Participate in coordinating new office locations and integrating new partners. • Assist in managing attorney departures to ensure a seamless transition. Contract Negotiation: • Support contract negotiations to secure favorable terms and minimize risks. Intranet Development: • Assist in creating and building out the firm’s intranet to improve communication and resource access.
Qualifications:
Proven experience as an Operations Assistant, Executive Assistant, Office Manager, or similar role in a professional environment (preferably in a law firm or corporate setting).
Exceptional organizational and multitasking skills with strong attention to detail.
Ability to manage competing priorities in a fast-paced environment.
Excellent interpersonal and communication skills, with the ability to build relationships across departments.
Experience with vendor and facilities management.
Familiarity with contract negotiation and administrative operations.
Tech-savvy, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and intranet development tools.
A proactive and solution-oriented mindset.
Preferred Skills: • Experience in event planning and marketing coordination. • Demonstrated ability to champion organizational culture initiatives. • Knowledge of legal industry operations is a plus.
